AI Voice Agent That Handles 80% of Inbound Calls for a Hospitality Chain

Built an autonomous AI receptionist that handles reservations, FAQs, and call routing — reducing staffing costs by 60% while improving guest satisfaction.

Challenge

A mid-sized hospitality chain with 12 properties was struggling with call centre costs and inconsistent service quality. Their front desk team was fielding 600+ inbound calls daily — the majority of which were repetitive: reservation enquiries, check-in/check-out times, amenity questions, and local recommendations. Peak-hour call queues were averaging 8–12 minutes, directly impacting guest satisfaction scores. The cost of maintaining a 24/7 front desk call team was over $180,000 annually across all properties.

Workflow approach

We designed and built a fully autonomous AI voice agent using VAPI for telephony orchestration, GPT-4o as the reasoning layer, and ElevenLabs for natural voice synthesis. The system was trained on each property's specific knowledge base: room types, pricing, amenities, policies, and local area guides. Deep integrations were built with the client's property management system (PMS) for real-time availability and direct booking, and with their CRM for personalised guest recognition. Complex queries and upset guests are automatically escalated to human staff with full context passed through — the agent stays on the call until a human picks up, ensuring no cold handoffs.

Observed outcome

Within 60 days of deployment, the AI voice agent was handling 80% of inbound call volume without human intervention. Average call handle time dropped from 4 minutes to 90 seconds for AI-handled calls. Guest satisfaction scores improved by 0.6 points (4.2 → 4.8 out of 5) — driven by the elimination of hold times. Annual staffing cost savings exceeded $110,000 across the chain, with the system paying back its build cost in under 6 weeks.
