Designed a voice AI front desk for a multi-provider clinic that answers patient calls, books appointments, confirms details, and escalates urgent cases.
Challenge
An outpatient clinic was losing bookings because reception staff were overloaded during morning and lunch peaks. Patients called to schedule appointments, ask opening-hour questions, confirm insurance details, or request rescheduling. Voicemail callbacks regularly stretched into the next business day, which meant patients booked elsewhere or arrived without the right information.
Workflow approach
We built a HIPAA-aware AI receptionist with natural voice handling, appointment scheduling rules, provider availability checks, and escalation paths for urgent or sensitive conversations. The agent verifies caller details, offers open slots, books directly into the practice management calendar, sends SMS confirmations, and creates a structured call summary for staff. Calls outside the agent's scope are transferred with transcript context so patients do not have to repeat themselves.
Observed outcome
The clinic recovered a large share of missed demand within the first month. Missed calls dropped 72%, booked consultations increased 41%, and staff spent less time returning voicemails. The clinic kept human receptionists for in-person care and complex calls while the AI handled repetitive scheduling and FAQ volume around the clock.
